Refund & Cancellation Policy

1. INTRODUCTION & OPERATIONAL PRINCIPLES
This Refund & Cancellation Policy ("Policy") outlines the operational, administrative, and legal conditions governing cancellations, withdrawals, refunds, processing deductions, and payment-related disputes for services provided by Meadow Edutech Private Limited ("Company", "MindRadix", "We", "Us", or "Our").
This Policy applies to authors, researchers, readers, reviewers, editors, advertisers, conference organizers, institutional clients, universities, colleges, NGOs, subscribers, and all other users utilizing the MindRadix publishing ecosystem and related services.
MindRadix operates primarily on a Post-Acceptance Payment Model for academic publishing services. No publication fee is collected during manuscript submission, technical intake, plagiarism screening, editorial review, or peer-review evaluation stages unless specifically stated otherwise for optional services.
Publication charges are invoiced only after a manuscript, book, journal article, conference paper, magazine contribution, or related scholarly work successfully completes the editorial and peer-review process and receives a formal Final Acceptance Decision.
Upon successful payment after acceptance, multiple automated and manual operational workflows are activated immediately, including but not limited to:
- Metadata processing
- DOI registration workflows
- XML and indexing preparation
- Typesetting and layout formatting
- Production scheduling
- Publication hosting infrastructure
- Archival processing
- Digital preservation workflows
- Editorial administration
- Platform resource allocation
Accordingly, refund eligibility, where applicable, depends upon the operational stage reached at the time of cancellation, withdrawal, dispute, or refund request.
2. ACADEMIC PUBLICATION WORKFLOW & PAYMENT STRUCTURE
2.1 Multi-Stage Editorial & Peer-Review Workflow
MindRadix generally follows the operational workflow below:
- Manuscript Submission & Technical Intake
- Initial Editorial Screening
- Plagiarism & Similarity Assessment
- Reviewer Assignment & Editorial Coordination
- Peer-Review Evaluation
- Author Revision & Resubmission Cycles
- Final Editorial Decision
- Acceptance Notification & Invoice Generation
- Publication Fee Payment
- Production, Metadata Processing & DOI Registration
- Publication Release, Distribution & Archival
Submission and peer-review stages are ordinarily conducted without upfront publication charges unless optional premium services are separately purchased.
2.2 Revision Opportunities & Editorial Evaluation
Where technical, formatting, citation, ethical, language, methodological, originality, or research-quality concerns are identified during evaluation, authors may be offered opportunities to revise and resubmit their work.
The Platform may ordinarily provide up to three (3) revision or resubmission opportunities depending upon reviewer recommendations, editorial discretion, publication schedules, and quality requirements.
The editorial team reserves full discretion regarding:
- Acceptance or rejection decisions
- Number of revisions permitted
- Reviewer replacement
- Ethical evaluations
- Technical compliance requirements
- Publication suitability
No guarantee of publication exists until a formal Final Acceptance Decision is issued in writing.
2.3 Final Acceptance Payment Rule
MindRadix does not ordinarily collect publication fees before a manuscript or publication work successfully clears editorial and peer-review evaluation.
Publication charges become payable only after the work receives a definitive Final Acceptance Decision.
Once the final acceptance payment is successfully processed:
- Production workflows may begin immediately
- DOI and metadata workflows may be initiated
- Publication resources may be allocated
- Editorial and technical teams may commence production operations
Accordingly, after successful post-acceptance payment processing, publication fees, operational charges, administrative expenses, and associated processing costs shall generally become non-refundable except where otherwise required under applicable law.
Voluntary withdrawal requests submitted after payment processing may therefore be denied.
2.4 Rejection Before Acceptance
If a manuscript, article, journal submission, conference paper, book chapter, magazine contribution, or related work is rejected before Final Acceptance:
- No publication fee may become payable
- No post-acceptance production workflow may commence
- No refund issue ordinarily arises where no payment has been collected
However, separately purchased optional services may remain subject to their own refund limitations.
3. PROCESSING STAGE DEDUCTIONS & REFUND ELIGIBILITY
3.1 Plagiarism & Similarity Screening
Official Editorial Screening
Plagiarism and similarity screening conducted internally as part of the standard editorial evaluation process before final acceptance is ordinarily included within the platform workflow and generally does not involve separate upfront charges.
Self-Service or Independent Screening Tools
Where authors, researchers, institutions, or users independently utilize plagiarism-checking tools, screening APIs, licensed software systems, or premium technical validation services provided through the Platform:
- Software credits
- Licensed infrastructure
- Server resources
- Third-party technical services
May be consumed immediately upon activation. Accordingly, such screening and technical validation charges may remain non-refundable once initiated or completed.
3.2 Editorial Processing & Peer-Review Coordination
Editorial handling, reviewer coordination, manuscript tracking, technical validation, formatting evaluation, hosting allocation, and peer-review management involve operational, technical, administrative, and human resource utilization throughout the publication process.
Accordingly, if a refund request is approved before publication or production completion, reasonable deductions may be applied for services and processing activities already performed, including editorial processing, technical evaluation, reviewer coordination, payment gateway charges, banking fees, platform resource usage, hosting allocation, and related operational expenses, subject to applicable law.
3.3 Post-Publication Non-Refundability
Once any manuscript, article, journal content, book material, conference proceeding, magazine publication, or related work has been officially published, processed for metadata or DOI workflows, indexed, distributed, archived, hosted publicly, printed, or otherwise released through the Platform, the applicable publication, production, editorial, technical, and operational charges shall ordinarily become non-refundable.
This shall also apply where an author, institution, contributor, or user subsequently requests withdrawal, cancellation, modification, replacement, or removal of the published content for reasons not directly arising from a verified technical error, legal requirement, or confirmed fault attributable to the Platform.
4. MEMBERSHIPS, SUBSCRIPTIONS & INSTITUTIONAL SERVICES
4.1 Author Membership Plans
Where automated author membership plans or subscription services are offered:
- Users may request cancellation within seventy-two (72) hours of payment
- Provided no manuscript has been submitted
- No screening credits have been consumed
- No workflow activity has commenced
After this period or after usage initiation, membership-related charges may become non-refundable.
4.2 Readers & Digital Access Purchases
Access to digital journals, magazines, books, conference proceedings, research articles, downloadable files, subscriptions, and other electronic or digital content is generally provided immediately upon successful payment and account activation.
Due to the nature of digital publishing and instantly accessible electronic content, such purchases shall ordinarily remain non-refundable once access, download availability, viewing rights, or subscription benefits have been granted or activated.
Users may cancel recurring subscription plans prospectively through the user dashboard or official support channels where such functionality is available. However, cancellation of a subscription shall not ordinarily entitle the user to partial, prorated, retroactive, or unused-period refunds for already activated subscription durations or accessed services.
4.3 Institutional Clients & Conference Services
Institutional publishing services, conference workflows, bulk publication arrangements, sponsored issues, and related enterprise services may require technical setup, administrative coordination, system configuration, hosting allocation, and operational resource deployment before activation or publication release.
Such services may include institutional dashboards, conference proceeding management, bulk manuscript handling, publication hosting, metadata preparation, DOI-related workflows, administrator account setup, branding or customization support, and related publishing infrastructure services.
Accordingly, once institutional systems, publishing dashboards, conference workflows, administrator credentials, or related services have been activated or configured, applicable setup charges, onboarding fees, activation fees, technical configuration expenses, and related operational costs may ordinarily become non-refundable.
For conference proceedings, sponsored issues, institutional publication projects, scheduled launches, or bulk publication arrangements, cancellation requests submitted before production or publication workflows commence may be reviewed depending upon the stage of processing and services already utilized. Reasonable administrative or operational deductions may apply where applicable.
However, once publication scheduling, production workflows, metadata preparation, DOI processing, technical deployment, hosting allocation, printing operations, or official release procedures have commenced, the applicable charges and related processing expenses may ordinarily become non-refundable.
5. ADVERTISING, SPONSORSHIPS & PROMOTIONAL SERVICES
Organizations, institutions, advertisers, sponsors, conference partners, and promotional collaborators purchasing advertising, branding, sponsorship, or promotional services through MindRadix must submit cancellation or modification requests through the official communication channels of the Platform.
Such services may include, but are not limited to: banner advertisements, featured placements, sponsored journals or publications, conference sponsorships, promotional campaigns, branded visibility services, homepage or platform placements, institutional promotions, digital marketing integrations, and related advertising or promotional activities.
Cancellation requests submitted reasonably before campaign scheduling, publication integration, promotional deployment, or design processing may be reviewed depending upon the stage of workflow reached and the services already utilized.
However, once advertisement design work, placement reservation, publication scheduling, branding integration, technical deployment, promotional processing, campaign activation, or related operational workflows have commenced, applicable charges may become partially or fully non-refundable depending upon the extent of services performed and resources allocated.
Further, once promotional content has been publicly displayed, published, integrated into journals, books, conference proceedings, magazines, websites, platform systems, or activated through digital distribution channels, the related advertising, sponsorship, and promotional charges shall ordinarily become non-refundable.
6. PHYSICAL PRINT ORDERS & SHIPMENT POLICIES
6.1 Cancellation Window
Orders placed for physical books, journals, magazines, certificates, conference proceedings, printed publications, or related physical materials may be eligible for cancellation only if the cancellation request is submitted within three (3) hours of successful order placement and before printing finalization, packaging, labeling, or courier dispatch processes have commenced.
Cancellation requests are reviewed based on the production stage reached and the operational activities already initiated at the time of the request.
However, once printing, production processing, packaging, shipment preparation, or dispatch workflows have begun, the applicable order, production, and processing charges may ordinarily become non-refundable, and cancellation requests may be declined.
Further, refunds may not be provided where cancellation, delivery failure, return requests, or related issues arise due to incorrect information, ordering mistakes, address errors, contact inaccuracies, or other user-side errors provided during the order process.
6.2 Delivery Failure & Return-To-Origin (RTO)
Refund requests may ordinarily be declined where delivery failure, return-to-origin (RTO), non-delivery, or shipment issues occur due to incorrect shipping address, invalid or incomplete contact information, recipient unavailability, refusal to accept delivery, or other errors arising from user-provided details.
If an order is returned, refused, or sent back after successful shipment or delivery attempts, applicable RTO charges, return shipping expenses, packaging costs, handling fees, and related operational charges may be deducted or additionally payable before any replacement, re-dispatch, or refund request is considered.
6.3 Wrong Product, Missing Item & Damage Claims
Claims relating to incorrect physical products, missing items, defective printed materials, or transit-related damage should be reported through the official support channels within a reasonable time after delivery.
For verification and claim review purposes, users may be required to provide supporting proof such as complete unboxing video evidence, visible shipping labels, relevant photographs or videos, order details, purchase documentation, or other reasonable verification material related to the issue.
Claims submitted without sufficient supporting evidence or verifiable proof may not be eligible for replacement, return, or refund review.
7. PAYMENT FAILURES, BILLING DISPUTES & GATEWAY ISSUES
7.1 Banking Settlement Delays
If funds are debited but the user dashboard or payment status does not update immediately, users should allow reasonable banking settlement time, which may extend up to forty-eight (48) hours or longer depending upon banking networks and payment gateways.
Users should avoid repeated payment attempts during pending settlement periods.
7.2 Duplicate Payments & Technical Errors
Users should report duplicate payments, payment gateway failures, transaction discrepancies, technical billing errors, or related banking issues through the official support channels of MindRadix with valid transaction details and supporting proof.
Where a duplicate payment or verified technical billing issue is confirmed after appropriate verification, the transaction may be reviewed for correction, adjustment, or refund in accordance with the applicable payment verification procedures.
7.3 Third-Party Payment Systems
Payment transactions processed through banks, payment gateways, UPI systems, card networks, or other third-party financial service providers may occasionally be subject to delays, interruptions, duplicate deductions, failed settlements, currency conversion variations, banking charges, or technical issues beyond the direct control of MindRadix and Meadow Edutech Private Limited.
Accordingly, the Platform shall not ordinarily be held responsible for delays, transaction failures, or technical issues arising from third-party banking systems, payment infrastructure providers, telecommunications networks, or user-side internet and connectivity problems.
7.4 Chargeback Abuse & Fraud Prevention
Users are expected not to initiate unauthorized, fraudulent, or abusive chargebacks, payment reversals, or dispute claims after receiving publication services, digital access, editorial processing, production activation, subscription benefits, or related platform services.
Where a payment dispute, chargeback request, or reversal claim is reasonably identified as fraudulent, abusive, misleading, or inconsistent with the services already utilized, MindRadix reserves the right to temporarily suspend services, restrict platform access, pause publication workflows, or take appropriate administrative or legal measures in accordance with applicable law and payment verification procedures.
8. RETRACTION, ACADEMIC INTEGRITY & ETHICAL COMPLIANCE
If any published content is found to involve plagiarism, fabricated data, duplicate submission, copyright infringement, fake authorship, unethical conduct, policy violations, or related academic integrity concerns, MindRadix reserves the right to review, suspend, correct, restrict, retract, or remove the concerned content where reasonably necessary or legally required.
In such circumstances, applicable publication, processing, editorial, and operational charges shall ordinarily remain non-refundable.
The Platform may additionally publish editorial corrections, ethical notices, retraction statements, or institutional communications where required for academic integrity, legal compliance, or publication ethics.
9. REFUND VERIFICATION PROCESS
9.1 Official Refund Request Method
Refund or cancellation requests must be submitted through the official support channels of MindRadix with valid transaction details and supporting information.
Users may be required to provide payment receipts, invoices, bank references, transaction IDs, payment screenshots, order or submission details, or other reasonable supporting evidence relevant to the request for verification and processing purposes.
MindRadix reserves the right to request additional verification where reasonably necessary for payment authentication, fraud prevention, compliance, or dispute resolution.
9.2 Review Timeline
Eligible refund requests may be reviewed within approximately five (5) to seven (7) business days, excluding banking delays, public holidays, regulatory interruptions, or exceptional verification requirements.
Approval of a refund request does not guarantee immediate banking settlement.
9.3 Original Source Refund Rule
Approved refunds, where applicable, shall ordinarily be returned only to the original payment source used during the transaction.
Transfers to unrelated third-party accounts may be refused for fraud prevention and compliance purposes.
10. TAXES, CURRENCY CONVERSION & GOVERNMENT CHARGES
Unless otherwise specifically stated by MindRadix, displayed prices, publication charges, subscription fees, advertising costs, institutional service charges, and related payments may be exclusive of applicable taxes, banking charges, currency conversion fees, international transaction costs, or statutory levies where required under applicable laws or payment regulations.
At present, domestic Indian users may not be charged GST or other applicable indirect taxes unless such tax collection becomes operationally or legally required in the future. However, MindRadix reserves the right to apply applicable taxes, GST, VAT, withholding taxes, international transaction charges, or similar statutory levies in accordance with future legal, regulatory, jurisdictional, or financial compliance requirements.
International users, foreign institutions, overseas payment transactions, or cross-border services may be subject to applicable international taxes, currency conversion charges, intermediary banking fees, payment gateway deductions, withholding obligations, or related financial charges imposed by banks, payment processors, governments, or regulatory authorities.
Applicable banking charges, payment gateway fees, currency conversion charges, international transaction costs, taxes, statutory deductions, or third-party financial processing charges may ordinarily remain non-refundable and, where applicable, may be deducted from the final refundable amount before processing any approved refund.
For international transactions, applicable taxes, currency conversion charges, intermediary banking fees, international transfer costs, or related financial deductions imposed by banks, payment processors, or regulatory authorities shall ordinarily be borne by the user.
For domestic Indian transactions, applicable payment gateway or banking processing charges may be deducted where applicable, and the remaining eligible refundable amount may be processed in accordance with this Policy.
11. FORCE MAJEURE & SERVICE INTERRUPTIONS
MindRadix and Meadow Edutech Private Limited shall not ordinarily be held responsible for refund delays, temporary service interruptions, publication postponements, or operational disruptions caused by circumstances beyond reasonable control, including but not limited to natural disasters, cyber incidents, server outages, internet failures, governmental actions, judicial restrictions, pandemic situations, war, labor disruptions, or third-party infrastructure and service failures.
Where reasonably possible, the Platform may take appropriate steps to restore services, continue operations, or minimize the impact of such disruptions.
12. GOVERNING LAW & JURISDICTION
This Policy shall be governed by and interpreted in accordance with the laws of India.
Subject to applicable law, courts located in Jhansi, Uttar Pradesh, India shall ordinarily have exclusive jurisdiction over disputes arising under this Policy.

14. POLICY MODIFICATIONS
MindRadix reserves the right to modify, update, revise, or replace this Policy at any time for operational, legal, technical, administrative, ethical, or regulatory reasons.
Updated versions become effective upon official publication on the Platform unless otherwise specified. Users are encouraged to review this Policy periodically.
